CRM implementation cost: project scope and first-year budget
Build a CRM budget covering licences, setup, migration, integrations, training and support. Includes a hypothetical first-year calculation and an estimate worksheet.
A CRM budget has several components
The first-year budget combines implementation, licences, connected services and support. Account for your own team’s time separately. A platform name alone cannot establish the price: define the workflow, data, connections and acceptance first.
- Discovery and design
- Define workflows, stages, roles and required fields. Check whether specification work is included. BYstudio’s initial review is free; any subsequent phase has its own agreed scope.
- Configuration and automation
- Pipelines, permissions, records, activities, notifications and transitions. The estimate should identify the actual workflows.
- Data migration
- Preparation, cleanup, field mapping, trial import, relationship checks and the main transfer. Record count alone does not describe the effort.
- Integrations
- List systems, data, transfer direction, duplicate handling and recovery for each connection. A ready-made connector still needs configuration and testing.
- Training and acceptance
- Manager and supervisor workflows, instructions, agreed sample checks and an issue list.
- Licences and external services
- Platform access, apps, telephony, messages and hosting where required. Each expense needs a payer, billing period and renewal terms.
- Support and development
- Separate defects in the agreed release from workflow changes and new features. Establish included support and the cost of subsequent work.
A fixed estimate needs scope boundaries and a change procedure. An hourly estimate needs a rate, expected effort and a phase limit. Totals are only comparable when those conditions are clear.
Check the licence calculation
Use the vendor’s official offer at the purchase date. Check available seats, required features, API access, apps, billing period, discounts and the tax-inclusive total. A monthly equivalent can differ from the first invoice.
For Bitrix24, verify the tools and user limit of the selected plan. With amoCRM, the purchase process selects a plan, users and an available subscription term. Do not apply one platform’s pricing calculation to another.

- Bitrix24: user limits
- amoCRM: official pricing
- amoCRM: purchasing a subscription

A hypothetical first-year calculation
Illustrative example: five staff, one pipeline, a data migration and a website connection. Every amount below is hypothetical. These are calculation inputs, not BYstudio prices, a specific CRM’s rates or a client estimate.
- Configuration
- RUB 80,000 once.
- Data migration
- RUB 20,000 once.
- Website connection
- RUB 30,000 once.
- Training and acceptance
- RUB 10,000 once.
- One-off work
- 80,000 + 20,000 + 30,000 + 10,000 = RUB 140,000.
- Hypothetical licences
- 5 users × RUB 1,000 × 12 months = RUB 60,000.
- External connections
- RUB 2,000 × 12 months = RUB 24,000.
- Planned support
- RUB 3,000 × 12 months = RUB 36,000.
- First-year total
- 140,000 + 60,000 + 24,000 + 36,000 = RUB 260,000.
Client staff time is excluded; add it separately. Check taxes, messaging usage, storage and potential changes as well. Replace every assumption with a confirmed amount for a real project.
Calculate the initial payment from actual due dates: project milestones and prepaid subscriptions or services. Recalculate the following year: implementation does not automatically repeat in full, while licences, support and development follow their own terms.
What the supplier’s estimate should specify
- Current workflow, user count, pipelines and one complete workflow for the first phase.
- For each deliverable: scope, volume, price or effort, owner and acceptance method.
- Migration boundaries: sources, fields, files, history, duplicates, trial sample and reconciliation.
- For every connection: exchange direction, plan limits, paid modules, failures and retries.
- Training, instructions, permissions, account access and the team’s cutover point.
- One-off and recurring amounts, payment periods, payers, taxes, offer validity and exclusions.
- Included support, ongoing maintenance and approval of new work.

Reduce the first-phase scope while keeping a complete order journey. A rarely used integration or extra report can wait. Acceptance, permissions and migration verification should remain part of the agreed result.
Why two projects need different estimates
For Krest-NN, we refined an existing Bitrix24 setup: a B2C workflow, order fields, activities and next-action deadlines. Testing deadline changes required a separate synchronisation service. An estimate should distinguish that development from simply creating a field.
DOROGA required a website and a custom CRM connecting orders, supplies, fuel and cash operations. That is a different development and operating scope. Public cases demonstrate delivered functions; contract amounts and measured ROI are not published here.
Cost questions
Can you estimate the project from the number of users alone?
User count helps estimate licences. Delivery also depends on workflows, data quality, integrations and acceptance. Five people using one form need a different scope from five people exchanging orders with an accounting system.
Does a CRM subscription include implementation?
Do not assume it does. Check who configures fields, connects channels, migrates data and trains the team. Platform subscriptions and supplier delivery should be distinguishable in the estimate.
Can a free CRM plan be enough initially?
Possibly, if its features and limits cover the essential workflow. Data preparation, configuration, training and staff time still have a cost. Test one order from enquiry to completion before choosing.
How do I compare a fixed fee with an hourly estimate?
Compare scope and acceptance first. For hourly work, establish the rate, estimated effort, phase limit and approval of overruns. For a fixed fee, check exclusions and the cost of changes.
What does BYstudio charge for implementation?
We estimate a defined phase after a free initial workflow review. Scope, exclusions, price and acceptance are agreed under a contract. The hypothetical amounts on this page are not BYstudio rates.
Define the first phase
For a free initial review, describe the workflow, team size, current system and required connections. We then agree scope, price, timing and acceptance under a contract.
